Secretary I - The Virginia Industries for the Blind (VIB) is accepting applications for an Administration Support position under a service agreement with the Federal Government.  The General Services Administration (GSA) at 2200 Crystal Drive, Arlington is looking for an experienced person to serve high level GSA officials.  Starting pay approximately $36,000 yr. The successful candidate would be interviewed by both VIB and GSA personnel with an employment date this summer. The VIB/GSA agreement offered is initially for a period of one year, with a likelihood to be extended with good service. 

JOB TITLE: Secretary I

SKILL LEVEL: Service Contract Worker

DESCRIPTION: Perform various administrative tasks according to the need of senior level managers. Provide secretarial support for one or more professional administrative and / or managerial employees. Perform a variety of secretarial assignments in order to relieve a professional(s) of clerical and
administrative details.

1. Receive telephone calls and visitors, directing them to the appropriate party or handling inquiries as delegated.

Administer internal correspondence controls ensuring deadlines are met.

3. Serve in various clerical capacities performing duties such as managing and ordering office supplies, filing, coordinating with help desk for service requests or equipment problems.

4. Prepare travel authorizations / vouchers using an agency-wide data base.

5. Coordinate and maintain senior managers’ daily calendars.

6. Maintain and record time and attendance records for a staff of +- 50 individuals.

7. Prepare and proof read memorandums and other documents using word processing and other related software. Assemble, research, report and/or summarize information as required.

8. Prepare associates training request for all educational courses using GSA’s Pegasys accounting system.

Provide administrative assistance, fill-in for administrative support
staff as required and perform other duties as assigned.

EQUIPMENT USED:
Computer, printer, telephone, copy and fax machines, and other miscellaneous office equipment.

QUALIFICATIONS: Excellent professional verbal and written communication skills. Good telephone / receptionist skills, able to deal with staff or the public as required. Exceptional accuracy and attendance required. Working skill in MS Word, Excel, MS Windows and Internet. Working knowledge of office practices and procedures, proper grammar, spelling and punctuation. Must be able to exercise independent judgment and decision making. Ability to perform duties without direct supervision, following verbal and written instructions. Computer literate. High School graduate. Multi-line telephone and customer service experience preferred.
